What Happens During a Site Visit — And Why It Matters
At KS Events, site visits help us evaluate the event space ahead of time so we can plan for safety, visibility, power, setup logistics, and overall guest experience. While photos and maps are helpful, there are many details that simply can’t be fully understood until we walk the property in person.
One of the biggest things we evaluate during a site visit is screen placement. An LED screen may technically fit in a space, but that doesn’t always mean it’s in the best location for viewing. We look at sight lines, guest seating areas, sun direction, surrounding structures, and traffic flow to determine where the screen will be most visible and effective throughout the event.
For outdoor events especially, visibility can change dramatically depending on the time of day. Direct sunlight, nearby lighting, or even trees and buildings can affect the viewing experience. Walking the site beforehand helps us position the screen where guests can comfortably see content without glare or obstruction.
Power planning is another major part of the process. LED screens require dedicated power, and every venue handles power access differently. During a site visit, we identify available outlets, breaker access, cable routing, and whether generators may be needed. Proper planning helps avoid overloaded circuits, unsafe cable runs, or last-minute setup changes on event day.
We also evaluate access for installation vehicles and equipment. Large LED screens are not small plug-and-play setups — transportation, trailers, support equipment, and crew access all need to be considered. A site visit allows us to identify tight entry points, unloading areas, elevation changes, soft ground conditions, or restricted access areas before setup day arrives.
Safety is another important reason site visits matter. Outdoor LED screens must be properly secured and installed based on the environment and conditions of the venue. Wind exposure, surface type, spacing requirements, and nearby structures all play a role in how the screen is positioned and supported.
In many cases, site visits also help clients better visualize the final setup. Once we walk through the property together, it becomes much easier to discuss layout ideas, guest viewing areas, audio placement, sponsor displays, or additional rental needs that may improve the overall experience.
The biggest benefit of a site visit is simple: preparation. Instead of troubleshooting problems during installation, we can solve them ahead of time and create a clear plan before event day begins. That preparation leads to smoother setups, safer installations, and a better experience for both clients and guests.
Not every LED screen rental requires a site visit, but for larger events, custom layouts, outdoor venues, festivals, university events, or unfamiliar locations, they can make a major difference in the success of the event.
